About the team
The Recruiting Operations team keeps the wheels in motion for our Recruiting partners. We provide support through troubleshooting and problem solving and audit Recruiting systems, processes and tools which enables us to attract and retain top talent. We are hyper-focused on improving processes by identifying system, process, and training opportunities for Recruiting Coordinators, Recruiters, and Sourcers.
About the role
Our team is looking for a Recruiting Operations Specialist with a keen eye for detail and a strong focus on candidate experience. Operations Specialists directly interface with Recruiters, Hiring Managers, and candidates during all stages of the pre-hire process. They ensure that all documentation is completed in order for candidates to have a positive onboarding experience at Zillow. Other responsibilities include:
Ensuring prospective new hires have a positive candidate experience and feel informed during their pre-employment process
Processing offer letters, managing offer approvals, and ensuring all employment agreements are signed
Initiating and monitoring candidate background checks and ensuring adverse actions are conducted in partnership with HR Business Partners as needed.
Communicating with candidates, hiring managers, and recruiters during each step in the offer process
Providing testing support for new system updates and implementations. Helping with small projects, as needed
Escalating system and process issues to the appropriate teams to get resolved
Running system clean-ups such as merging duplicate candidate profiles
Assisting with ongoing education and change management by creating job aids for the rec ops support team and greater recruiting team to refer to
Responding to time-sensitive and critical requests from various business partners within the People Org and shared services
Analyzing ticket data and trends, raising the issues with the manager and Program/Project Manager to address the root-cause and influence future process opportunities
Conducting various audits to assess gaps within process adoption, current processes, and system enhancements.
Managing reporting in Google Sheet, Smartsheet, and Excel
Who you are

Stickler for accuracy in all that you do
Proven track record of picking up new processes and systems
Experience with Google Drive, Workday, Microsoft Suite preferred
